Otter.ai alternatives for meeting capture, transcripts, and usable exports

The right replacement depends on what you need to keep: searchable meeting recaps, a portable transcript, audio files, or a low-friction individual recorder. Before moving an archive, inventory the source files, available export formats, participant permissions, and the target service's import and sharing limits.

Start with the gap in your current workflow

Export a small, permission-approved sample first. Otter Basic currently lists 300 transcription minutes per month and three lifetime audio/video imports; its Help Center says Basic exports text as TXT only. Notta Free lists 120 minutes per month and a three-minute limit per conversation; its download help page says downloading is available on Pro and above and requires an allowed role. Fathom lists unlimited free individual recording and transcription, but its Help Center says a transcript cannot be directly downloaded and must be copied and pasted. These are different cost and handoff tradeoffs, not a quality ranking. Fireflies' Free tier lists 400 minutes of team storage and limited AI summaries; confirm the current upload and export limits before importing an archive.

Choose a replacement for a specific job

Fireflies AI

Choose Fireflies when you want to try a searchable meeting workspace and import audio/video that was recorded elsewhere. Its published upload guide lists accepted file types and plan-specific size and duration caps.

The trade-off: The Free help page lists three meeting transcriptions by default, with Auto Join needed to unlock unlimited transcription for supported meetings. Storage is a total per-seat cap; downloads and AI features have separate conditions. Decide which meetings may be captured before connecting a calendar.

Before switching: Check the source format, size, duration, storage cap, summary allowance, export options, and recap permissions on the exact account before bulk import.

Notta

Choose Notta when its meeting/file workflow and available transcription/translation options match your actual recordings and you can budget around per-recording and monthly limits.

The trade-off: Free is limited to 120 minutes monthly and three minutes per conversation; the Help Center lists download access on Pro and above, and the user must have the permitted download role. Annual prices and add-ons should be distinguished from monthly billing.

Before switching: Export an allowed sample, check that the receiving application reads the chosen format, confirm the role can download, and compare total billing cycle and add-on costs.

Fathom

Choose Fathom when unlimited individual call capture and recordings matter more than receiving a transcript as a standalone downloaded file.

The trade-off: The official Help Center says transcripts cannot be downloaded directly; they must be copied from the call view and pasted elsewhere. Advanced summaries and team features vary by plan.

Before switching: Test the clipboard handoff on one approved call, confirm recording downloads and summary limits, and check whether your team needs a file format or archive workflow Fathom does not expose.

Try the switch without rebuilding everything

  1. Make a list of meetings, owners, dates, audio files, transcript formats, and the next system that consumes each item. Mark confidential or non-consented material as out of scope.
  2. Export one representative Otter item and verify the file. Basic exports TXT only; paid access may expose additional formats, and shared-conversation permissions can restrict export.
  3. Select one target service based on capture, export, language, and cost requirements. Import only an approved sample and note plan limits, errors, and manual corrections.
  4. Rebuild only the tags, templates, and sharing groups needed for the next meeting. Do not assume old chat history, summaries, folders, or permissions will transfer.
  5. Have a second person verify the exported transcript, names, decisions, access list, and retention plan before retiring the original account or archive.
