From a meeting to a checked action list

Separate transcription from deciding what people actually committed to. A good action list keeps unknown dates unknown.

Start with this input

Maya: I will send the draft on Friday.
Lee: I can review it, but cannot commit to a date.
Maya: The budget is still undecided.

Follow the process

  1. Record a short test with consenting speakers, or use the supplied text as a summary-only fixture. Do not upload a real confidential meeting.
  2. Choose a tool and confirm your available recording or import allowance. Otter’s free file imports are a lifetime limit, not a monthly refill.
  3. For audio: create/import the recording and inspect the transcript against playback. Correct names and negations before asking for a summary.
  4. Ask: “Return Owner | Action | Due date | Evidence. Use Not agreed for missing dates. Keep decisions separate from open questions.”
  5. Review the output against the acceptance sample, then export the transcript and action list. Reopen the export to verify text and names.

Reference output and acceptance criteria

Owner | Action | Due date
Maya | Send the draft | Friday
Lee | Review the draft | Not agreed
Open question: Budget remains undecided.

If it goes wrong

If speakers are merged, relabel against playback. If import is blocked, check quota before paying. If the AI assigns Lee a date, remove it and tighten the instruction. Keep the original recording for review under your retention policy.

Time, cost and evidence

Planning estimate: allow 15–30 minutes for a short first run and manual review. This is not a measured provider runtime. Use an eligible free allowance or review the linked plan before continuing; no guaranteed dollar cost.

Workflow design and an editorial reference output. No authenticated provider run is claimed. Product screens, available models and quotas can change.
